Lumina Health's multi-site provider group managed administrative operations through a mix of site-specific spreadsheets and partial tools. We built a unified internal system covering scheduling coordination, billing workflow tracking, and cross-site reporting.
Challenge
Each Lumina Health site tracked administrative operations slightly differently, making it difficult for leadership to get an accurate, consolidated view of operations across the organization, and creating inconsistent processes between sites.
Solution
We built a single internal system with consistent data structures across all sites, supporting site-level administrative workflows while giving leadership a consolidated reporting view. The system was rolled out site by site, with each site's existing spreadsheet-based process mapped carefully before migration to avoid losing workflow nuances that mattered locally.
Architecture
A centralized PostgreSQL data model supports per-site configuration where genuinely needed (e.g., site-specific scheduling rules) while enforcing consistent core data structures for cross-site reporting. Role-based access control lets site staff manage their own operations while giving leadership read access across all sites. Reporting views aggregate data in near real time rather than through a separate nightly export process.
